Terms and Conditions

Please read these terms and conditions carefully before booking a trip with A Wildlife Expedition. By making a booking, you confirm that you understand and accept these terms in full. This agreement forms a legally binding contract between you and A Wildlife Expedition.

Intellectual property rights

All content displayed on this website, including text, graphics, logos, icons, designs, colours, layout, and trademarks, belongs to A Wildlife Expedition and its associates. South African and international intellectual property laws protect this material.

Accordingly, you may not copy, reproduce, distribute, or use any content from this website without prior written permission from A Wildlife Expedition.

A Wildlife Expedition strives to provide accurate, current, and reliable information at all times. However, the company does not guarantee the accuracy, completeness, or reliability of website content, services, or materials.

Although information is shared in good faith, you should verify details independently where necessary, particularly when planning travel.

Changes to this agreement

From time to time, A Wildlife Expedition may update these terms and conditions or amend website content without prior notice. Therefore, continued use of the website or services indicates acceptance of any changes made.

Booking and payments

To confirm a booking, clients must pay a deposit equal to 30 percent of the total booking value. If payment is not received, the reservation will automatically cancel.

The remaining balance must be paid no later than 45 days before the start of the itinerary. When bookings occur within 45 days of departure, full payment is required immediately.

When flights form part of the booking, full payment for flights must be made within 24 hours to secure the quoted fare. A booking becomes fully confirmed only once the total invoice amount has been paid.

After final payment, A Wildlife Expedition will issue travel documentation, vouchers, and flight tickets.

Foreign currency payments

When quotations are issued in foreign currency, clients must pay via direct bank transfer. South African Reserve Bank regulations prohibit South African companies from retaining foreign currency credit card payments.

Clients may settle foreign currency invoices through international bank transfers. In such cases, the client’s bank or A Wildlife Expedition’s bank will handle currency conversion. Furthermore, clients remain responsible for all bank charges, including intermediary fees, and must ensure the net invoice amount clears into the A Wildlife Expedition bank account.

Flights and passenger information

When A Wildlife Expedition books flights on a client’s behalf, passenger names must match passport details exactly. Airlines do not allow name changes once tickets are issued.

For this reason, clients must supply accurate passport information. A Wildlife Expedition cannot accept responsibility for incorrect details provided by the client. Copies of all passenger passports must be submitted to ensure accurate booking.

Cancellation policy

All cancellation requests must be submitted in writing. A cancellation is considered received on the business day it reaches A Wildlife Expedition, not the date it is sent.

Cancellations up to 130 days before arrival
Clients will receive a full refund of the deposit, minus a 10 percent agent fee, bank charges, and any non-refundable costs already incurred.

Cancellations between 129 and 45 days before arrival
Clients will receive a credit equal to 30 percent of the deposit. This credit must be used toward a future booking within 12 months.

Cancellations within 44 days of arrival
No refund will apply, and the full invoice amount will be forfeited.

Because partner cancellation policies may vary, especially during peak seasons, A Wildlife Expedition will communicate any differences at the time of booking. For this reason, comprehensive travel insurance is strongly recommended.

Changes to confirmed bookings

Clients may request changes to confirmed bookings, subject to availability. However, changes requested within 45 days of arrival may incur additional costs. Changes cannot be made within 44 days of arrival.

Additionally, no refunds apply for lost travel time, unused services, itinerary changes after departure, circumstances beyond the control of A Wildlife Expedition, or unused accommodation, activities, meals, or transport.

Role and responsibility of A Wildlife Expedition

A Wildlife Expedition acts as a booking agent for third-party suppliers, including accommodation providers, airlines, transport operators, and destination management companies. These suppliers operate independently and remain outside the control of A Wildlife Expedition.

As a result, all services are subject to the terms and conditions of the relevant suppliers. A Wildlife Expedition does not accept liability for supplier delays, cancellations, omissions, injuries, losses, or damages.

Where safety or operational needs require changes, A Wildlife Expedition may amend itineraries. In such cases, clients will be informed as soon as reasonably possible.

Force majeure

A Wildlife Expedition is not liable for failure to perform obligations caused by circumstances beyond reasonable control. These circumstances include, but are not limited to, natural disasters, weather conditions, war, civil unrest, government intervention, illness, quarantine, or other unforeseen events.

In these situations, A Wildlife Expedition may cancel or modify arrangements. Any refunds will reflect non-refundable supplier costs, cancellation fees, and reasonable expenses incurred due to the force majeure event.

Passports and travel with children

All travellers to Southern Africa must hold a passport valid for at least six months beyond travel dates, with two consecutive blank pages side by side.

Travellers who do not meet these requirements risk denial of boarding or entry. In addition, parents travelling with children without the other parent must carry a certified letter of consent from the absent parent.

Travel insurance

All clients must hold comprehensive travel insurance. Coverage should include medical expenses, emergency evacuation, trip cancellation, and related risks.

Clients travelling without adequate insurance accept full responsibility for resulting costs and agree not to hold A Wildlife Expedition liable for any loss or harm.

Luggage restrictions

Travellers or carriers remain responsible for luggage loss or damage. When travelling by light aircraft, strict weight limits apply. Only soft-sided luggage or duffel bags are permitted, and hard suitcases are not allowed under any circumstances.

Vaccinations and travel documentation

Clients must ensure that all passports, visas, permits, vaccinations, and travel documents comply with destination requirements.

Although A Wildlife Expedition may provide guidance in good faith, clients retain full responsibility for compliance. Any additional costs resulting from non-compliance remain the responsibility of the client.

Wildlife encounters

Safari travel involves proximity to wild animals. Although incidents are rare, wildlife behaviour remains unpredictable, and risk cannot be eliminated.

By participating in a safari, you accept these inherent risks. A Wildlife Expedition and its partners do not accept liability for injury, loss, or damage arising from wildlife encounters or third-party services.

Special requests

Clients must submit special requests, including dietary or accessibility needs, in writing at the time of booking. While A Wildlife Expedition will make every reasonable effort to accommodate requests, availability cannot be guaranteed, and additional costs may apply.

To allow sufficient planning time, clients should submit requests at least 45 days before arrival.

Notice of enforceability

By booking travel services with A Wildlife Expedition, you confirm that you have read, understood, and agreed to these terms and conditions.
